Job Description:

Reporting to the Director, Airport Operations, the Airports Logistics and Planning Coordinator will be responsible for various duties within the Airports department including document control, training records retention, and facilitating the administrative processes for new airport and vendor startup. Additionally, the candidate will be responsible for providing a high level of administrative support to the Airports Operation and Training teams including the Vice President of Airport Operations.

Job Responsibilities:

  • Liaise with all specific airport authorities to coordinate their communications and start up processes through one single company source.
  • Responsible to identify company stakeholders and coordinate outstanding items.
  • Manage and coordinate cross departmental review and approval of service provider and airport operating agreements.
  • Responsible for upkeep and distribution of department and airports contact and email distribution lists.
  • Reconciliation of department invoices for accuracy.
  • Project manage all ground handling RFP processes, bid compilation and comparison, working with management to facilitate the selection process.
  • Logistics management and distribution execution of new airport supplies, stock ordering and shipping to meet new airport start up timelines.
  • Work with airports training and standards department to coordinate and process registrations for training classes and request and or book all travel and facilities for training classes.
  • Coordination and tracking of all travel for members the of the Airports Department.
  • Facilitate all internal new airports vendor approval processes to ensure suitability to provide superior service and identify gaps within processes in training and then coordination of stakeholders to ensure all gaps are mitigated.
  • Procurement of department supply and service providers, by identifying the requirement and sourcing the most suitable supplier to meet the specific needs while maintaining department budgets.

Job Requirements:

  • Demonstrated ability to take initiative on complex tasks.
  • Proficiency in technical and business writing is considered an asset;
  • Demonstrated proficiency at an intermediate level in Microsoft Word, Excel, PowerPoint and Outlook.
  • At least Two (2) years of previous related experience in an airline environment, or in a complex administrative support role is strongly preferred;
  • Post-Secondary Education – at least two (2) years is preferred;
  • Good knowledge of Microsoft Office 365 applications, Apple iPad and iOS systems;
  • Ability to obtain and retain an Airport Restricted Area Identity Card in accordance with the Airport Restricted Area Access Clearance Program regulated by Transport Canada.
  • Proven project management skills and abilities -ability to read and interpret various acts, regulations, and legal documents is considered an asset.
  • Working knowledge of Canadian Aviation Regulations as it applies to Airline Operations;
